Since 2009, James Gregory, an Intranet Quorum Consultant (IQC) has been providing consultation services, technical support and training to our Senate customers. Over the years he has developed institutional knowledge and understanding of Senate Office processes, empowering him to identify challenges and develop creative and innovative solutions.

For James, building dynamic solutions such as service templates, IQ webforms and surveys is one of the most rewarding parts of his career. When James identified a demand for more robust Digital Privacy Release form capabilities in the Senate, he immediately stepped up to the challenge.

Research

During his initial research, James came across numerous obstacles and quickly recognized that a basic webform would not suffice due to the fact that each Senate office has their own unique variation of a Privacy Release form. The solution needed to be customizable to accommodate the office’s needs and questions, so James utilized his team members and available resources to create an editable file template.

Adoption

After developing a viable solution, James collaborated with one of his customers to finetune the template and build a fully functional model by reconstructing their Privacy Release form with fillable text fields and rich text format fields such as digital signature and seals. The model exhibited great success and refined a process that caseworkers have been doing for years into a digital solution.

Before, constituents would have to go through multiple steps to submit a request, forcing the Caseworker to wait idly until a response is received. This dynamic webform capability has streamlined the workflow process, allowing Caseworkers to hit the ground running with webform submissions and feel secure knowing the data is passed through an encrypted webpage.

Results

Because of the continuing success of this solution, it has been actively adopted by additional offices and other types of government agencies for various use cases.

Over the years we have vastly expanded what we can do with our IQ webforms…” said Gregory, “…that’s why building and creating new solutions is one of my favorite parts of being an IQ Consultant.”

James would like to thank Walter Hocketstaller, Chris Coleman, Jenny Manner, and most of all, Thomas Coleman.
